About the role
The Facilities and Administration Coordinator ensures that camp accommodation, offices, training rooms and related support services are kept safe, clean and efficient, while providing administrative support for daily refinery operations.
Key responsibilities
- Answer telephone calls, screen messages and handle escalated enquiries.
- Prepare documents, presentations, letters and official releases; draft minutes and manage filing systems.
- Transcribe, type, format and proofread correspondence, invoices, contracts, reports and presentations using word processing, graphics and spreadsheet tools.
- Coordinate internal and external meetings, including travel arrangements and meeting amenities.
- Ensure compliance with company SAPS, HSEC, Quality and other policies.
- Allocate employee accommodation, monitor camp occupancy and maintain accurate records.
- Liaise with catering, cleaning, transport and other service providers to keep camp facilities hygienic and safe.
- Conduct routine inspections of rooms, offices, training areas, kitchens and common spaces; record defects and follow through to completion.
- Supervise housekeeping activities, monitor contractor performance and manage cleaning consumables.
- Track maintenance requests, coordinate repairs and maintain cost records.
Required profile
- Strong administrative judgment and discretion.
- Excellent organisational skills with the ability to plan and schedule workload independently.
- Familiarity with company health, safety, environment and quality standards.
- Ability to liaise effectively with internal teams and external service providers.
Required skills
- Microsoft Office suite (Word, Excel, PowerPoint).
- Desktop publishing software.
- Basic knowledge of SAPS or similar enterprise systems.
