Dispatcher

About the role

Trafigura is hiring a Dispatcher in Port Moresby. The role prepares delivery documentation such as invoices and transfer documents and provides drivers with what they need to load and transport product. It works closely with terminal and operations staff to make sure loading and truck dispatch runs smoothly.

Key responsibilities

• Interact with drivers daily to make sure the right load and delivery documents are available and the dispatch process is flawless.
• Use order information from Customer Service or the terminal systems to set the loading sequence according to existing procedures.
• Print loading and delivery documents (invoices, transfer documents) using system applications such as TMS and Navision, including alternative methods under business continuity arrangements.
• Maintain up-to-date files and archives that meet control and legal requirements, and archive documents in line with Finance's retention guidelines.
• Originiate requests for credit notes when document reversals are needed.
• Administer delivery seals to drivers and safeguard existing seals according to control procedures.
• Comply with company requirements on SAPS, HSEQ and quality, and follow the HSEQ employee responsibilities (reporting hazards and incidents, following health, safety and environmental procedures).

Required profile

• Bachelor's degree in Business Management or Accounting from a tertiary institution or technical college.
• At least 1 year of experience handling accounting paperwork such as invoices and credit notes.
• Excellent verbal and written communication, able to prioritise work and handle a high-pressure, customer-facing environment.
• Problem-solving, quick learner, proactive, detail-oriented and team player.

Required skills

• Able to use computer applications.
• Knowledge of systems or accounting is an advantage.
